Welcome to Field Geo Tag. We are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, and safeguard your data when you use our mobile application to capture geotagged photos and generate professional field site reports.
Our Privacy Commitment
Field Geo Tag is designed with privacy in mind. We do not collect, store, or transmit your personal data to external servers. All your information β including photos, reports, notes, and preferences β remains on your device under your complete control.
Information We Collect
Field Geo Tag accesses the following information solely to provide its core functionality:
- Location Data: GPS coordinates (latitude and longitude) are captured when you take a photo. This data is used exclusively to geotag your photos and generate location overlays. Location updates are cached on-device for up to 60 seconds to reduce battery usage and are never transmitted to us.
- Camera Access: We access your device's camera to capture photos. Photos are processed locally on your device to render the geotag overlay before being saved.
- Address Information: When you capture a photo, we convert GPS coordinates to a human-readable address using OpenStreetMap's Nominatim service. Only coordinates are sent to this service β no personal information is transmitted. Address results are cached locally for up to 10 minutes to minimise repeat API calls.
- Report Metadata: When generating a site report, you may enter the following fields. All of this information is typed by you and stored only on your device:
- Company Name and Prepared By name (saved in Settings for reuse)
- Project Name and Project Location
- Work Status
- Site Observations
- Issues and Actions Required
- Individual per-photo notes
- Photo Thumbnails: Low-resolution PNG previews of your captured photos are generated and stored locally to power the in-app thumbnail carousel.
- App Preferences: A small number of application preferences are stored locally on your device, including whether you have accepted the terms of service, whether auto-save is enabled, and a counter tracking how many times you have used the drag-and-drop feature (used only to decide when to hide the in-app tutorial hint).
How We Use Your Information
The information accessed by Field Geo Tag is used solely for the following purposes:
- Overlaying location information (address, coordinates, timestamp) directly onto your captured photos
- Converting GPS coordinates to readable street addresses via OpenStreetMap
- Saving geotagged photos to your device's gallery (when auto-save is enabled or you tap Save)
- Generating professional PDF and Word (.docx) site reports from your geotagged photos and report notes
- Storing generated reports in the app's My Files section so you can review, organise, and share them at any time
- Enabling you to organise reports into folders, rename folders, move files between folders, and delete files within My Files
- Enabling you to share individual photos or complete reports through your preferred applications (email, cloud storage, messaging, etc.)
- Remembering your Settings preferences (company name, prepared by name) to pre-fill report fields automatically
Data Storage
All data generated by Field Geo Tag is stored locally on your device. No data is sent to our servers.
- Photo thumbnails are stored in the app's private documents directory (
Documents/thumbnails/) as PNG files. They persist until you delete the associated photo within the app. - Generated reports (PDF and Word files named
Field Geo Tag_[timestamp].pdf/.docx) are saved inside the app's private documents directory. You can view, organise, share, and delete them at any time from the My Files screen. - My Files folders β any folders and subfolders you create to organise your reports β are stored within the app's private documents directory.
- Report draft data (project name, location, work status, notes, per-photo captions) is temporarily cached in local device storage while a report session is active. This cache is tied to your current set of photos and is not transmitted anywhere.
- User preferences (company name, prepared by name, terms acceptance, auto-save setting, and the drag hint counter) are stored using your device's secure on-device key-value store.
π No External Servers
We do not maintain any external databases or servers that store your personal information, photos, or reports. Your data never leaves your device unless you explicitly share or export it using your device's share sheet.
Data Sharing
Field Geo Tag does not share your personal data with any third parties. The only external communication occurs when:
- Address Lookup: GPS coordinates are sent to OpenStreetMap's Nominatim API to retrieve street addresses. This is an anonymous request containing only latitude and longitude values β no personal information is included. Please refer to OpenStreetMap's Privacy Policy for their data handling practices.
- User-Initiated Sharing: When you choose to share a photo or report from within the app, the file is sent through your selected application (email, messaging, cloud storage, etc.) via your device's system share sheet. This sharing is entirely under your control and is initiated only by your explicit action.
Permissions Required
Field Geo Tag requires the following permissions to function. You will be prompted to grant each permission the first time it is needed, and you may revoke any permission at any time through your device's Settings app.
Data Security
Since all data is stored locally on your device, security is maintained through your device's built-in security features. We recommend:
- Keeping your device's operating system and the Field Geo Tag app updated to the latest versions
- Using a secure screen lock (PIN, password, Face ID, or fingerprint)
- Being mindful when sharing geotagged photos or reports, as they may contain sensitive location, site, and project information
- Regularly reviewing and deleting reports you no longer need from the My Files screen
Children's Privacy
Field Geo Tag is a professional field documentation tool intended for use by adults in work-related contexts. It does not knowingly collect any personal information from children under 13 years of age. The app does not require account creation or the submission of personal data beyond the optional settings fields described in this policy.
Your Rights & Control
Since all data is stored locally on your device, you have complete and direct control over your information:
- Access: All your photos, reports, notes, and preferences are accessible directly on your device through the app or your device's Files app.
- Deletion: You can delete individual reports or entire folders from the My Files screen within the app. You can delete photo thumbnails by removing photos from the capture carousel. You can clear all app settings and cached data by uninstalling the app or clearing app data through your device's Settings.
- Portability: Your photos are standard image files and your exported reports are standard PDF and Word (.docx) files. All can be transferred, backed up, or opened in any compatible application freely.
- Permissions: You may revoke camera, location, or photo library access at any time through your device's Settings app. Revoking a permission will disable the corresponding feature within the app.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in the app's features or applicable regulations. Any changes will be reflected with a new "Effective Date" at the top of this page. We encourage you to review this policy periodically. Continued use of the app after changes are posted constitutes your acceptance of the updated policy.
Third-Party Services
Field Geo Tag uses the following third-party service for reverse geocoding. No analytics, advertising, or crash-reporting SDKs are integrated into the app.

The app is built with several open-source Flutter packages (including geolocator, image_picker, share_plus, pdf, and others). These libraries operate entirely on-device and do not independently transmit any data to external services.
